In most SMEs, follow-ups happen when someone remembers. The salesperson checks a spreadsheet on Monday morning and sends emails. The accountant notices an overdue invoice and calls the customer. The manager sees an unread approval request and acts on it.
Memory-based follow-ups are inconsistent by definition. Odoo replaces memory with rules — automated actions that trigger based on dates, statuses, or conditions, without requiring anyone to remember.
Odoo's Accounting module includes a built-in follow-up action system. You define a sequence of reminders tied to invoice due dates:
Each reminder uses a customizable email template with dynamic variables — invoice number, amount, due date, payment link — so the email reads as personal correspondence, not a generic bulk message.
The follow-up actions run once a day. Nobody has to trigger them. The system reviews every open invoice, checks the due date, and sends the appropriate message at the right stage automatically.
Quotations sent to customers frequently go unanswered. With Odoo's scheduled actions, you can configure an automatic reminder email 3–5 days after a quotation is sent if no response has been logged.
The reminder can reference the specific products quoted, the validity date, and a direct link to the quotation for online confirmation. If the customer confirms online, the quotation converts to a sales order automatically.
This eliminates the "I forgot to follow up on that quote" scenario that costs businesses real revenue every month.
Odoo does not have a built-in WhatsApp channel by default, but it connects to WhatsApp Business API through third-party integrations. The most common options for businesses in Bangladesh:
Odoo's Discuss module supports SMS through Twilio. By connecting a WhatsApp Business number to Twilio, outgoing messages can be sent as WhatsApp messages directly from Odoo's interface. Setup takes a few hours and requires a WhatsApp Business account.
For higher-volume messaging — such as a buying house sending shipment updates to multiple factories, or a retailer sending delivery confirmations to customers — the Meta Business API (via 360dialog or similar resellers) provides a more scalable integration. Messages are triggered by Odoo automated actions.
Beyond customer-facing messages, Odoo automates internal follow-ups through the chatter (the discussion thread on every record) and email notifications:
These internal nudges prevent things from slipping through the cracks without requiring a manager to manually monitor every queue.
The highest-ROI automations to configure first, in order:
Each of these can be configured by a non-technical user in Odoo's settings and automation menus. No coding required.
